Daily Billing Workflow
As a salon owner, your daily operations revolve around moving customers smoothly from the front door to the checkout counter. This section covers the real-world workflows your receptionists and cashiers will use every single day.
The Standard Customer Workflow
Here is the complete, start-to-finish workflow for a standard customer visit.
1. Select Services (The Home Screen)
When the customer decides what they want, staff uses the Home screen to build their cart.
- Search for the requested service (e.g., "Premium Facial").
- Tap the + button to add it to the cart.
- If they also want to buy a product, search and tap + again.
Always encourage staff to offer a physical product (like a conditioner) after a service. The Home screen makes it easy to add products to the cart instantly.
2. Review the Cart
Tap the floating Cart button to review the order before payment.
- Ensure quantities are correct.
- Any active Discount Rules will automatically appear here. Staff do not need to calculate math manually.
3. Add the Customer (Crucial Step)
Before hitting checkout, staff should always ask: "Can I have your phone number for your receipt?"
- If they provide it: Search and select their profile. Their visit is tracked, loyalty is counted, and custom discounts apply.
- If they refuse: Proceed without a customer. They are treated as a Walk-in.
Walk-ins generate revenue, but they do not generate data. You cannot run retention reports or send marketing campaigns to anonymous walk-ins. Train your staff to capture customer details!
4. Checkout & Generate Bill
Tap Checkout. The system freezes the cart and generates a formal, un-editable Bill.
Once a bill is generated, the cart is locked. Staff cannot modify items anymore. If the customer changes their mind, staff must press Cancel, which destroys the bill and unlocks the cart. This prevents partial payments and accounting fraud.
5. Accept Payment
The customer is presented with the final total.
- Scan to Pay (UPI): Show the customer the QR code on the screen. They scan and pay.
- Share Link: If the customer is paying later or remotely, tap Share to send a WhatsApp payment link.
- Manual Record: If they pay in cash or via a card machine, tap Received, enter "Cash", and confirm.
Error Recovery: Fixing Mistakes
Mistakes happen during a busy rush. Here is how your staff should handle them.
"I accidentally created a bill, but the customer changed their mind."
Solution: On the payment screen, tap Cancel. The bill is discarded, and the items become editable again in the cart.
"The customer walked out mid-payment, and my app is stuck on the payment screen."
Solution: Close the app. The cart is safely locked to that staff member's account. When they reopen the app, they will see a "Complete Payment" button. They can either finish it later or cancel it to free up the system.
"I recorded a Cash payment, but they actually paid via UPI."
Solution: Once a payment is marked as "Paid" and a receipt is generated, it cannot be edited. This is a strict security feature to prevent cashiers from altering payment records after the customer leaves.
Action: The manager must cancel/refund the entire transaction and ring it up again correctly.
